Re-inventing the wheel one letter at a time...
If your office is anything like ours, then there is always a
huge stack of correspondence that needs typed responses. The
easiest and fastest way to create a response, is to set up a
basic letter template in which you cover all the typical
responses that are most common in your response correspondence.
When responding to a specific piece of correspondence, simply delete the sections of the template that are not applicable, adjust the wording (including or excluding certain specifics), and type in the new reference details and date. Save the new response with the relevant reference file name, and you are ready to print the letter in a very short period of time.
Won't your response letters seem cold and impersonal? One way to prevent this template approach from generating boring form letters, especially in a business environment where the client base is small enough to allow personal relationships to develop with clients, is to include one personal line that is specific to each client you are responding to.
